Steps in the screenshots correspond to the numbers in the headings.
1. Find your account.
(Refer back to “How to Search for a customer account” doc if need assistance)
2. Click on correct account.
3. If you go to the “Details” tab, that is where all the account information will be housed; customer discount, whether they are on a BPO or not, ASTEA Cust#, etc.
4. Please note, the account you pull from at the very beginning of the process will be the account the discount is pulled from.
5. Click on “Quick Quote:"
In this example, we will use the account “Lisa’s BBQ”
6. This will take you to the “Product Selection” screen.
7. Type in part number you are searching for in search field within the “Product Selection” screen and hit enter.
8. If you are creating a quote for repair, you will want to use the part number that ends with “-REP.”
8.1. Quoting new, choose the part number that ends with “-NEW”
8.2. Quoting Legacy, choose the part number that ends with “-LEG”
8.3. Quoting Broker, choose the part number that ends with “-REF”
8.4. Quoting outsource, choose part number that ends with “-OUT”
In this example, we will be quoting the repair of a Panel Mate 1785T
9. Once you type in your part # in the search field, you will see above screen.
10. Put checkmark on the correct part # you want to quote.
11. Click on “Select” button.
11.1. If you are quoting more than one line, you would click on “Select & Add More” button and it would take you back to your Product Selection screen to add more parts to quote
12. Your “raw” quote will show up with all quote lines on it.
13. You can enter the shipping method or the PO at this point in time of you have it, if not, it can be left blank.
14. Click “Save” in order to save your quote
14.1. Click “Add Products” if you need to add more lines to quote.
15. Click “Submit for Approval”
15.1. If price was not overridden, it will be automatically approved.
15.2. If the CSR overrode the price by more than 25%, an automated email will go to CSR supervisor for approval and Record Type will show “pending” until CSR supervisor approves.
16. Once submitted for approval, the record type and status will have changed to “Approved.”
17. Make sure to update the “Quote Sub Type” to reflect what kind of quote you are sending. In this instance, it would be “Repair.”
18. Hit “Save.”
19. Now you are ready to send the quote.
19.1. If you would like to preview the quote, you can click on “Preview Document”.
19.2. If something needs changed, click on “Edit Lines” and it will take you back to the raw quote.
20. Click “Generate Document” when you are ready to send your quote.
21. Click “Save and Email.”
22. Click “Send.”
