1.7 | What do I need to know about Taxes?

Updated on

Taxes are handled by two software programs that integrate with our eCommerce Platform and Salesforce.  They are originally set up in Big Commerce, and then they integrate over to Salesforce once the order is created.

This means that you won't see the Tax information listed under the account, but you will see it once the order is created.

In our initial setup, ATS Accounting has been actively involved to ensure that we have the proper Tax Codes entered for every City/State etc, as well as as ensuring the proper accounts are marked Tax Exempt.

As always, we realize that things change.  If you see an account that is set up incorrectly, please contact [email protected].

The customer has put in an order for a new product.

1. $6.07 worth of Tax was charged on the order.

2. When looking up the Account in Salesforce, you can see it is NOT marked as Tax Exempt.

3. Scrolling down to the additional Tax Information fields, you can see that they are blank.  Again, this is because the information is stored in eCommerce and comes over on the Order.

4. When you enter the order, you will see additional information.  It Starts out in Order Accepted Status.

5. From this screen, you can see a lot of the details. The top line breaks out the order amount, shipping and tax.

7. Under Order History, you will see where the integration brought over the State Code, Country Code etc.

8. Move over to Details.

9. If you were to go into the Sales Tax Details for this order, you would see the following information:  (These have been entered strictly for demo purposes)

  • Rate : 6.250000%
  • Tax Name : TX STATE TAX
  • Juris Name TEXAS Rate : 1.250000%
  • Tax Name : TX CITY TAX
  • Juris Name LEWISVILLE Rate : 0.500000%
  • Tax Name : TX SPECIAL TAX
  • Juris Name DENTON COUNTY CTA TRANSIT Rate : 0.125000%
  • Tax Name : TX SPECIAL TAX
  • Juris Name LEWISVILLE CRIME CONTROL DISTRICT SP Rate : 0.125000%
  • Tax Name : TX SPECIAL TAX
  • Juris Name LEWISVILLE FIRE CONTROL DISTRICT SP

10. Scroll down under the Order Details Tab.  Just before you get to the Shipping and Billing information, the tax information is listed.

11. Notice the green arrow next to the Tax Calculation Status followed by the message "Tax Amount is up to date." This is telling you that the tax that is being charged on this dollar amount is correct based on the information we have entered for this customer.

12. Once the price is changed on the product, you will see the Tax Calculation Status goes to a spinning red arrow.

13. The Ava Tax Message tells you that the tax is being recalculated.

14. Click the F5 key to refresh the page. The status and message are updated.
